Acquisition Unit
The Unit is responsible for obtaining books, theses, e-books for the library and efficient record keeping. Obtaining materials consists of pre-order searching, ordering, receiving and claiming items for the library collections. Efficient record keeping includes the expertise of establishing and maintaining accounts as well as furnishing information about library material purchases to the information seeker and answers all audit questions regarding purchase of books. The salient functions are to:
- Process order requests including verification of bibliographic information and vendor selection.
- Receive new items, timely processing of all invoices for payment and review new material for physical condition, location and special handling.
- Claim material not received from vendors.
- Create accurate financial reports annually or as required to facilitate expenditure of funds and to estimate fund commitments for future fiscal years.
- Communicate with the resource coordinators as required to successfully resolve questions.
- Provide bar coding and security tagging of all documents.
- Acknowledge and process gift materials
- Maintain current information for informed and accurate acquisitions of library material.
- Organize periodic book exhibitions and presentations about e-books.
- Receive the Gifts and acknowledges donors, arranges for review of the material by the appropriate selectors, and adds the materials donated into the collection if selected.
- " Handle materials received on blanket order, a process similar to approval plans but without the right to return.
The faculty, students and other fulltime employees of the Institute, may make the request that specific titles be acquired for the collection. However, the Library Committee must approve any titles requested by. For this purpose an electronic order form is available. You can also collect the printed Suggestion Card from the Acquisition Unit and Circulation and Stack Maintenance Unit. Due to high cost of books, the Library is unable process requests of external members.
Once the Library Committee has approved an order request, it will be processed as quickly as possible. The actual turnaround time for a given request will depend upon several factors, including the availability of funding to make the purchase, and the availability of the requested item. Anyone having a question regarding the status of an order request should first search the title in the ISI WEB-PAC, since a record is added to the catalog as soon as a title has been ordered. That catalog record will likewise be updated once the item has been received and is being processed. Circulation and Stack Maintenance Unit
The Unit is responsible for maintenance of library material and updating, eliminating or correcting bibliographic entities in the library's databases and collections in accordance with the library's policy of weeding, inventory, and collection development. Maintenance includes repairing, binding or physical replacement of worn and damaged material. Updating the bibliographic entities includes shelf listing and check-in; eliminating includes withdrawals or replacements; correcting includes monitoring and aligning bibliographic information and library materials in order to maintain an accurate database and collections for the information seeker. The salient functions are to:
- Prepare, send, and receive items for binding.
- Provide necessary preservation measures and mending of materials for library use.
- Withdraw items and the related bibliographic records, when necessary.
- Sort and distribute problem materials returned to Technical Services and evaluate these materials for retention based on current policies.
- Evaluate and solve problems with items according to library policies.
- Maintain Inter Library Loan Program of the Central Library and coordinate with outside libraries.
- Arrange membership registration and clearance etc.
- Provide checkout, check-in and reservation services for all library materials.
- Maintain connection between the library and the user community by answering users inquires, by phone, regular mail or e-mail.
- Provide guidance to users with the best use of library and information sources.

Documentation Unit
The Documentation Unit is responsible for compilation of different bibliographies (in anticipation &/or on demand) and other similar services. The Unit is also maintaining a Database of Publications by the scientists of the Institute. Documentation-related questions should be referred directly to the Unit by

Information Storage and Retrieval Unit
The Unit implements, maintains and if necessary, provides access to library electronic resources of all types. The Unit collaborates with Acquisition Unit, Reports & Records Unit, Periodicals Unit, and Technical Processing Unit to carry out these responsibilities. The salient functions are to:
- Coordinate the identification, acquisition/digitization, uploading, payment, record keeping, fiscal control, and maintenance of electronic resources.
- Maintain license and contract information for e-resources.
- Work with technology staff to ensure technical compatibility of e-resources with library information technology infrastructure; coordinate maintenance of linking capabilities and resolution of access problems.
- Manage the library's information about electronic resources across a variety of platforms.
- Coordinate activities of an Electronic Resource Management Work Team that will help to determine policies for the life cycle of the library's electronic resources
- Monitor trends in electronic publishing and e-resource management; recommends or implements new initiatives as appropriate
- Maintains statistical data to report and evaluate the use of and satisfaction with electronic resources

Library Administration
Library Administration is responsible for overall Library management; including personnel, budget and facilities, and can provide general information about the Library. Periodicals Unit
The Unit is responsible for the subscriptions and renewal to serial publications. This Unit acquires serial material in two ways other than paid subscriptions. The other two methods used are gifts from other institutions or exchanges with other institutions whereby the Institute Library sends certain material to the other institution and receives material in return. The salient functions are to:
- Place the firm orders with various vendors/publishers.
- Perform the necessary follow-up of the firm orders (including claiming of outstanding overdue orders).
- Receive the material upon its arrival.
- Verify the invoices for payment.
- Acquisition of electronic materials, which includes the license negotiations, the placement of orders, and the monitoring of access to these resources.
- Answer all audit queries related to serials/periodicals both printed and online.
- Form and/or participate in library consortia.
- Claim for missing issues
- Prepare for in-house and commercial binding of completed volumes
- Provide self-photocopying services
- Arrange checkout, check-in and reservation of periodicals.
- Technical processing of the bound volume of journals.
The Library Committee must approve each periodical subscribed. Due to the high cost of subscriptions and annual increase in prices, a cancel-to-replace policy has been followed since the early 1990s. Reports & Records Unit
The Unit is responsible for obtaining statistical data sources both in print and digital form, annual reports, and efficient record keeping. Obtaining materials consists of ordering, receiving and claiming items for the library collections. Efficient record keeping includes the expertise of establishing and maintaining accounts as well as furnishing information about library material purchases to the information seeker and answers all audit questions regarding the purchase. Government Documents provides access to information from federal, state, and local government agencies. Documents are in print, online, and micro form formats. Assistance is provided in researching topics and in locating specific information or materials. The salient functions are to:
- Process order requests including verification of bibliographic information and vendor selection.
- Receive new items including the timely processing of all invoices for payment and review new material for physical condition, location and special handling.
- Claim material not received from vendors or obtains, through appeal or purchase, material lacking in the collection.
- Create accurate financial reports annually or as required to facilitate expenditure of funds and to estimate fund commitments for future fiscal years.
- Communicate with the resource coordinators as required to successfully resolve questions.
- Provide bar coding of all documents.
- Maintain current information for informed and accurate acquisitions of library material.
- Prepare, send, and receive items for binding.

Reprography & Photography Unit
The Unit is well equipped with reprography & photography facilities. The services are available as central facility to all members of the Institute. It helps the research scholars of the Institute as well as the outside scholars by providing photocopies of research material etc. The salient functions are to:
- " Provide color and black & white photocopying services
- " Extend digital photography services
- " Do microphotography
- " Extend scanning services
- " Prepare slides
- " Design and develop documents, posters and banners
- " Maintain all types of inventories
- " Interact with audits
- " Plan and procure/replace equipment
- " Facilitate spiral binding/plastic-comb binding

Statistical Workers' Circulating Library
The Statistical Workers' Circulating Library has been an important cultural centre in the Institute since 1942. There is no aspect of life, which is not covered by books. The enthusiasm for reading is reflected in the increasing demands for the literary works. The Statistical Workers' Circulating Library recovers small part of its costs by annual fees However, membership of this library is not open to outside users. In Statistical Workers' Circulating Library, it is recognized that a significant part of the library's very high per capita circulation is in the area of recreational materials and the library seeks to continue to make available recreational library materials in all relevant media.
Fiction, thrillers, science fiction and other pulp fiction are available for light reading. The library has arranged the books alphabetically by author. It has very rich collections in the following areas:

- Hindi Literature
- English Literature
- Oriya Literature

Technical Processing Unit
The Unit is responsible for providing bibliographic control and organization of books, theses, patents, standards, e-books other library materials in collections and databases. Providing bibliographic control and organization of library materials includes the technical evaluation, manipulation, or creation of information according to standard and local library guidelines and procedures. Processing of library materials includes physical preparation of items for use and circulation. Maintaining bibliographic control and organization of library materials includes the monitoring and updating of database information to keep it current and consistent. The salient functions are to:
- Provide centralized bibliographic access to collections.
- Identify, verify, evaluate and edit bibliographic records for new materials following standard guidelines and local procedures.
- Complete essential information for partial bibliographic records or create new records to enhance quality of the databases.
- Effectively monitor processing of materials in priority order.
- Provide labeling and physical processing of library materials.
- Conduct final check of permanently processed and prepared materials for accuracy and completeness and distribute processed materials to appropriate locations.
- Create and maintain authority files of names, subjects and series and interact with other library areas by exchanging pertinent information.
- Review database transactions for accuracy, completeness and consistency.
- Maintain the official shelf list and evaluate materials following local retention procedures.
